Copyable Compliance Matrix

| ID | Buyer Requirement | Draft Response Summary | Status | Evidence Needed | Owner | Reviewer Risk | Notes |
|---|---|---|---|---|---|---|---|
| R1 | [Requirement] | [Short answer] | Drafted | [Proof point] | [Name] | Low | [Reviewer note] |
| R2 | [Requirement] | [Short answer] | Needs evidence | [Policy, case study, metric, or certification] | [Name] | Medium | [Reviewer note] |
| R3 | [Requirement] | [Short answer] | Needs buyer input | [Buyer document, access, or decision] | [Name] | High | [Reviewer note] |

Status Definitions

  • Drafted: a response exists but still needs human review.
  • Needs evidence: the response needs an approved proof point before submission.
  • Needs buyer input: the team needs buyer data, access, or clarification.
  • Reviewer required: the section may affect legal, security, pricing, delivery, or executive commitments.
  • Not enough information: the requirement cannot be answered responsibly from the available inputs.

How to Use the Matrix

  1. Break the RFP into individual requirements.
  2. Add a short response summary for each requirement.
  3. Mark the status honestly instead of overstating compliance.
  4. Assign an evidence owner and reviewer.
  5. Resolve high-risk rows before the final proposal package is submitted.
